The Ultimate Travel Planning Checklist In Just 3 Steps

This post is all about the ultimate travel planning checklist and how you can use it to plan for any type of trip!
We all know that choosing the perfect destination, doing all the research, and figuring out logistics can be extremely overwhelming, and that’s exactly why I created this versatile travel planning checklist to make the entire process so much easier.
This checklist is broken down into 3 parts: Pre-Booking, Logistics, and Itinerary Planning. I’ll guide you through each section to make sure that nothing gets missed, and so that you can come out of this process feeling the most prepared.
Let’s get into it!!
1. Pre-Booking Travel Checklist
This is the research phase and arguably one of the best parts of this entire planning process. Don’t stress too much about this section, the whole point is to research (duh!) and give yourself options to choose from. Later on you’ll secure your final decisions in the logistics step!
For now, all you need to do is settle on a destination, pick a timeframe, estimate your budget, and compare travel options.

Key goals of this stage:
- Choose a destination
- Decide when to travel & for how long
- Estimate travel budget
- Research costs and compare options
Choosing the when & where:
- Choose a destination (or a few!) that you’re considering and do some research
- Determine the length of your trip
- Pick some travel dates that work for you
Pro-Tip: Be flexible with your travel dates!! Weather patterns (amongst many other factors) can be a BIG influence when booking travel. You should aim for at least 2-3 different timeframes throughout the year, and then decide later on which dates make the most sense.
Getting into the research:
- Research the climate & weather patterns for your prospective travel dates
- Learn all about the popular tourist attractions & highlights
- Review safety considerations
- Research affordability (especially if budgeting is a main priority!)
If traveling abroad:
- Research the culture, cuisine, and popular traditions
- Check passport & visa requirements
- Review travel advisories
- Research currency equivalency
Estimate your travel budget:
- Set a rough estimate travel budget for this trip (and give yourself some wiggle room!)
- Determine how lenient you’re willing to be (this will play into decision making later on)
- Determine cost estimates for the following:
- Flights (swap this out if you’re planning on taking a train, bus, road trip, etc.)
- Car rentals (if needed)
- Accommodations
- Daily spending (think meals, shopping, experiences along the way, things like that)
- Travel insurance (not required, but ideal!)

- Research costs for passport renewals & visa applications (if needed)
Compare your options:
Now that you have an idea of what you’re getting yourself into, grab a notepad and a pen, and start jotting down some notes:
- Compare flight routes & nearby airports
- Longer, less convenient routes usually = cheaper cost
- Shorter, direct routes usually = more expensive
- Compare travel options (when it makes sense)
- If you’re traveling a shorter distance or regionally, consider taking a train, bus, or road trip (this could be a great option if you’re looking to save money!)
- Compare different accommodation styles:
- Hotels
- Airbnbs
- Hostels
- Resorts
- Camping, etc.
- Compare neighborhoods you’d want to stay in
- This is especially helpful if you’re looking for a location that is walkable to nearby restaurants & attractions, in a safe area, close to the airport, etc.
- Compare transportation options
- Car rentals
- Public transportation (trains, metros/subways, buses, etc.)
- Ride Share (Uber, Lyft, etc.)
- Walking
- City bike rentals, etc.
By the end, you should have a full list of all your top choices.
2. Travel Logistics Checklist
The next step in the planning process is narrowing down your options and making concrete decisions.
Key goals of this stage:
- Book major travel components
- Arrange transportation
- Secure travel documents
- Solidify your travel budget
Book your mode of travel & transportation:
- Book flights (or train/bus tickets if you’re going that route instead)
- Book rental car (if needed)
- Arrange airport pick-up & drop-off (always check with your accommodations because they may have options for you!)
- Purchase public transportation passes (train, bus, bikes, etc.)
- Arrange travel between cities (if applicable)
Pro-Tip: Be sure to check baggage policies!
Book your accommodations:
- Reserve your stay(s) & save the confirmation(s)
- Confirm check-in/check-out times
- Scope out nearby restaurants, tourist attractions, activities, shopping, etc. (basically anything you’d want to see!)
- Locate the nearest hospital (I always recommend this, just in case!)
Prepare travel documents:
- Gather travel insurance information
- Make copies of important documents & store them in a safe place
if traveling abroad:
- Check passport expiration date & start the renewal process (if needed—keep the 6 month rule in mind!)
- Apply for visas (if needed)
Establish your travel budget:
Now you’re probably wondering why I’m having you do this after I tell you to book all your flights, stays, and other important reservations, right?
This is why I had you create a rough estimate of your travel budget right away in the beginning, so that you could factor in those larger expenses before anything else.
Now that you have the most expensive parts of your trip planned, booked, and ready to go, the rest of your travel budget can become much more specific and a lot easier to manage on a smaller scale.
Here’s what’s left to budget:
- Establish a daily spending amount (think coffee, meals, shopping, transportation costs, etc.)
- Determine how much you’re willing to spend on experiences (this could be attractions, tours, activities, etc.)
- Factor in emergency funds to cover potential unexpected changes/delays (depending on the type of trip and length, this could range anywhere from $200-$1,000+, it’s really whatever you feel most comfortable with)
Pro-Tip: Notify your bank(s) of your travel dates to avoid flagged transactions. Not all banks require this, but it’s best to check in and let them know anyways to avoid any disruptions later on.

- Check credit card foreign transaction fees
- Plan currency exchange
3. Itinerary Planning Checklist
Now it’s time for the fun part!
Key goals of this stage:
- Plan activities
- Create a flexible itinerary
Find things to do:
- Make a list of all the attractions you want to see
- Prioritizing them from most to least importance will help you narrow down this list later on if you don’t have time to do EVERYTHING
- Look for seasonal & outdoor activities (hiking, parks, beaches, boat tours, etc.)
- Remember to check operating hours for parks and sites!
- Find local restaurants, bars, or coffee shops to try out
Pro-Tip: If you’re up for it, it can be fun to go on a deep dive and research “hidden gems” in the area that you’re visiting, BUT please remember to be respectful of local land and neighborhoods when doing so!
Plan your itinerary:
- Create a rough day-to-day plan
- Group attractions & activities by location
- Leave room for flexibility & rest days
- Schedule must-see attractions early on in your trip
- Plan logistics for experiences & activities
Pro-Tip: It can be super helpful to create more than one itinerary in the beginning to try and figure out how everything fits together best. I personally create 2-3 different itineraries for each of my own trips and usually end up meshing them all together to create one perfect plan!
Book the experiences:
- Reserve tours & excursions
- Purchase tickets in advance when you can (mostly for national parks, museum admissions, things like that)
- Make restaurant & bar/lounge reservations in advance
Pro-Tip: While it’s a good idea to make reservations & purchase tickets in advance, try to avoid making too many commitments up front, especially time-sensitive ones. Don’t purchase admission tickets for specific allotted time slots until you know for a fact you can make it there during that time.
Important Reminders:
- Download all important travel documents to a safe folder in your phone AND bring hard copies
- Download maps and addresses for offline access
- Save all reservation confirmations
- Share your itinerary with others (especially if you’re traveling solo!)
